Operations Team

Finance Chair

  • Filling out financial surveys.

  • Managing budgets and developing budget reports.

  • Ensuring non-profit status and other administrative paperwork.

  • Participating in board meetings and communicating with board members when making bigger decisions.

Medical Chair

  • Ensuring appropriate equipment is available for medical clinic.

  • Placing medications in pharmacy (Pharmacy Coordinator).

  • Recruiting physicians/PAs/pharmacists for medical clinic.

  • Head clinic coordinator who organizes schedules for all clinical coordinators.

Dental Chair

  • Overseeing all dental operations during clinic hours.

  • Sterilizing instruments that are used during clinic.

  • Scheduling/recruiting dentists to volunteer.

  • Keeping track of all dental equipment and supplies.

  • Working closely with dental board members to manage the clinic and discussing future opportunities.

Technology Chair

  • Handling Athena accounts and registration of physicians.

  • Providing support for Slack and manage channels.

  • Managing Google Suite (emails, Google Drive, etc.).

  • Maintaining and updating website.

Human Resources Chair

  • Scheduling clinical volunteers and interns. Sending out reminders for scheduled volunteers/interns and ensuring there is a functional team available for each shift.

  • Organizing internship program applications and orientations.

  • Liaison between clinical volunteers/interns and operations team members.

Public Relations Chair

  • Overseeing all social media platforms (Facebook, Instagram, LinkedIn, etc.). Posting regularly and providing updates about Halim Clinic.

  • Responding to emails and website responses in a timely manner.

  • Outreach for patient and volunteer recruitment and spreading the mission of Halim Clinic.

  • Sending out a quarterly newsletter.

Administrative Chair

  • Handling various approval forms for staff and providers

  • Finding providers, physicians, and dentists to be scheduled week in and out

  • Overlooking grant applications

  • Sorting faxes and sending them to the appropriate providers

In addition to the chair responsibilities, all Operations Team members will share the following responsibilities:

  • Opening and closing clinic.

  • Managing workflow at the clinic as clinic coordinator.

  • Learning about the different roles and functions at the clinic and answering questions (technology, finance, pharmacy, dental, HR).

  • Being present at the clinic and keeping everything organized.

The Operations Team of Halim Clinic performs all the background activities of the clinic to ensure that our clinic and dental teams provides the best care possible.
